1. Information We Collect

• Account information: your name, email address, and profile details, including information shared by Google if you sign in with a Google or Google Workspace account.
• Content you enter: boards, matrices, scorecards, candidate and member notes, meetings, tasks, milestones, uploaded documents, community posts, and reflections.
• Billing information: subscription status and the identifiers our payment processor returns. Card numbers are entered directly with the processor and never reach our servers.
• Technical and usage data: device and browser information, pages viewed, and log data used for security and troubleshooting.

2. How We Use Your Information

We use your information to provide and improve Great Board, keep your account secure, personalize your experience, process payments, respond to support requests, and send service messages. We rely on your consent, the performance of our contract with you, our legitimate interest in operating a safe service, and legal obligations as the basis for this processing.

3. AI Features

The help assistant and concierge send the text you type or speak, plus the page you are on, to an AI provider so a response can be generated. Those prompts are used to answer you, not to train models. Please do not enter sensitive personal, medical, or confidential third party information into the assistant. Dictation runs in your own browser using its built in speech recognition.

4. Information About Other People

When you record notes about prospective or current board members, you decide what is collected and you are responsible for handling it lawfully and respectfully. Collect only what you need, and remove information when it is no longer useful.

5. Data Storage and Security

We use industry standard security measures, including encryption in transit, access controls, and row level database rules so board data is reachable only by you and the members you invite. Uploaded documents are stored in private storage. No system is perfectly secure, so please use a strong password and keep your account credentials private.

6. Sharing Your Information

We do not sell your personal information or share it for cross context behavioral advertising. We share data with service providers who help us operate the platform, including hosting and database providers, authentication providers, our payment processor, and our AI provider, each under confidentiality obligations. We may also disclose information when required by law or to protect the rights and safety of users. Content you post in the community hub is visible to other signed in members.

7. Cookies

We use cookies and similar storage to keep you signed in and to remember preferences such as which guidance pop ups you have seen. See our Cookie Policy for details.

8. Data Retention

We keep your account and board content while your account is active. If you delete your account, we remove your content within 30 days except where we must keep records for legal, tax, or accounting reasons. Backups age out on a rolling schedule.

9. Your Rights

Depending on where you live, you may have the right to access, correct, export, restrict, or delete your personal information, to object to certain processing, and to withdraw consent. You can update or delete your account information at any time in account settings, export tool data as JSON from each tool, or contact us to make a request. We will not discriminate against you for exercising these rights.

10. International Transfers

Our providers may process data in the United States and other countries. Where required, we rely on appropriate safeguards such as standard contractual clauses for these transfers.

11. Children

Great Board is intended for adults working on organizational governance. It is not directed to children under 16, and we do not knowingly collect their information. If you believe a child has provided data, contact us and we will delete it.

12. Changes to This Policy

We may update this policy as the service evolves. We will revise the date above and, for material changes, notify you in the product or by email.
